From the moment you first get in touch to the day you travel and beyond, we keep you informed every step of the way. We know that organising group transport can feel daunting, especially if you’ve never hired a coach or minibus before, so we’ve built a process that removes the guesswork and gives you confidence that everything is in hand.

Group Travel

One of the biggest frustrations people face when organising group transport is not knowing what to expect. How quickly will you hear back? What information do you need to provide? When do you need to pay? What happens if details change closer to the time? These are all completely reasonable questions, and not every coach hire company makes the answers easy to find. At JRP Direct, we believe transparency is everything. Below is a clear, step-by-step guide to exactly how our booking process works, so you know what’s happening at every stage.

Step One: Choose Your Vehicle

The first step is thinking about what vehicle best suits your group. We operate a modern fleet ranging from 16-seater minibuses right up to 75-seater coaches, with executive options available for those looking for something a little more premium. If you’re not sure what size you need, don’t worry. Our team is happy to advise you based on your passenger numbers, the nature of your journey and any specific requirements your group might have, such as wheelchair accessibility or extra luggage space.

Step Two: Get In Touch With Our Team

Once you have an idea of what you’re looking for, you can contact our office with your booking requirements. You can reach us by phone on 01435 515099 or by email at info@jrpdirect.co.uk. You can also use the quote request form on our website if you’d prefer to submit your details online. At this stage, it’s helpful to have the following information ready: your travel date, pick-up and drop-off locations, the number of passengers, and any specific needs or questions you have. The more detail you can give us, the more accurate your quote will be.

Step Three: Get Your Quote

We aim to respond to all enquiries within one hour during working hours, and we guarantee a response within one working day. We pride ourselves on being quick and communicative because we know that when you’re planning a group trip, waiting around for answers isn’t helpful. Your quotation will be clear and straightforward, with no hidden fees or confusing small print.

Step Four: Confirm Your Booking

Once you’re happy with the quote, you can confirm your booking either by phone or email, whichever is easier for you. We’ll then send you a formal booking confirmation letter along with your movement details via email. This document sets out everything you need to know about your journey, including pick-up times, drop-off points and any other relevant information, so you have a clear record to refer back to. It also includes out-of-hours emergency contact information, just in case something happens while the office isn’t open.

Step Five: Deposits and Payment

For most standard bookings, no deposit is required. We would generally like to request a deposit where we need to pre-book ferries or hotels on your behalf for longer journeys or European travel. If you are an existing account customer with JRP Direct, that’s all you need to do at this stage, and an invoice will be sent out at your agreed billing timings. For new customers or those travelling with us for the first time, full payment will be required 14 days before your travel date. We’ll make sure you’re aware of any payment requirements from the outset so there are no surprises.

The Booking Process at JRP Direct

We want every customer to feel looked after from start to finish, and our booking process reflects that. We’re not a faceless national operator. We’re a small, dedicated team based in East Sussex who genuinely care about getting your journey right.

Step Six: Your Pre-Travel Check-In

A few days before your travel date, our office will contact you to confirm that all of the details are still correct. If your passenger numbers have changed, pick-up times have shifted, or there’s anything else that needs updating, this is the ideal moment to let us know. It’s a simple step, but it makes a real difference in ensuring the day itself goes smoothly.

Step Seven: Post-Travel Feedback

After your journey, we’ll follow up with a short email asking how everything went. We genuinely welcome all feedback as it helps us continue to improve. We’ll also invite you to leave a review if you were happy with the service. As a small company, reviews mean a great deal to us and help other customers feel confident in choosing JRP Direct for their group travel.
